EXECUTIVE BOARD MEETING
SEPTEMBER 29, 2001 - PITCHFORK ROOM HOLIDAY INN

CALL TO ORDER
Wyoming State Librarian Lesley Boughton called the meeting to order at 7:10 a.m. Susan Cuthbertson declared a quorum. Introductions were made by those present. Susan Cuthbertson moved that we table the approval of minutes from the September 25, 2001 executive board meeting until the next executive board meeting. Frances Clymer seconded it.
Conference Wrap Up
Lesley Boughton reported that it was a very successful conference. There were over 205 pre-registrations and more registrations at the conference. The organization and program planning by Trish Palluck and the program council made the conference a success.
Trish Palluck said, according to Lesley Boughton, that the exhibitors had all paid a table fee. Mary Jayne Jordan praised the way the vendors were all introduced at the keynote address at the beginning of the conference.
There was discussion about vendors and whether to let them provide their materials to be handed out at conference without them being present. This will be put on the next executive board meeting agenda to be discussed further.
President's Report
Lesley Boughton read Trish Palluck's report, which was included on the agenda. Program council needs to be evaluated and Trish Palluck asks for e-mails with any ideas on how this could work better. The local arrangement people are responsible for a lot. Lynn Petit from the McCracken Research Library did an incredible job with local arrangements. Frances Clymer said that with all the local help it wasn't that difficult to get everything done. Lesley suggested a thank you note be sent to Susan Simpson Gallagher for the reception given on Friday night for the Wyoming Library Association. According to Frances Clymer, Patty Patterson was relentless in her help with local arrangements.
Brian Greene, a visitor at the meeting, commented that perhaps Erin Kinney and Scott Kinney could provide some sort of technology that would make it easier for the Program Council to get together. Ara Anderson was going to see how MPLA sets up their conference and would e-mail her findings to Trish Palluck.
Section Reports
Paraprofessional - Laurie Lye
Laurie requests that program council stagger the section meetings next year. Lesley Boughton says that should be possible.
The spring section meeting will be held in Casper. Gloria Brodle says that it may be difficult for her to get away citing concerns about new director's policies.
Lesley Boughton stated that she would discuss this at the upcoming Director's retreat. Lesley feels that we cannot push leadership then not allow participation in organizations.
Lesley was proud to report that 17 out of 28 employees were at the conference from the Wyoming State Library.
Government Information Section - Ara Anderson
Ara reported that they are going to be giving away 5 free memberships.
Gerry O'Donall wants to be included in the program next year.
Children's/Young Adult Section - Richard Landreth
Richard wants to look at the 3 committees and see if something can be done to make them more cohesive. He feels that the committees are doing the work three times.
School Library Media Personnel Section - Lisa Smith
Lisa discussed when the spring meeting would be held.
Academic and Special Library Section - Frances Clymer
Frances Clymer reported that her and Mary Coffin, incoming chair-elect, had started brainstorming on program ideas for the next conference at their section meeting.
Public/Trustee Section - Carey Hartmann
Carey talked about wanting to get a major speaker for the next conference but wondered if the timing was bad and what the costs would be. She feels the WLA needs to do things for the trustees.
Committee Reports
Awards Committee - Erin Kinney
Erin reported that the awards banquet went very well.
Electronic Communications - Scott Kinney
Scott reported that there would be one workshop to put on the web page.
Send minutes to him and he will put on the WLA web page. Videoconferencing would be a very expensive way for the program council to get together. Normally the cost is $20,000-$30,000. Perhaps we may ned to look at the cost of contracting out for these services.
Communications Committee - May Jayne Jordan
Mary Jayne needs to know then the brochures need to be done that she is working on to promote WLA.
Lisa Smith proposed that we have the 2003 conference in Evanston. Carey Hartmann seconded it. The dates will still need to be picked.
At this time it looks like the 2004 conference will be held in Sheridan and since the 2005 conference will be held in conjunction with the MPLA conference it is suggested we pursue Jackson as the site of the 2005 conference.
Lesley Boughton will take concerns about the dates of the conferences to Trish Palluck. Trish Palluck is suggesting the next board meeting be the week of October 22 but Lesley reports that the Director's retreat is going to be held October 23-24, 2001 so the next Executive Board meeting will be held on Friday, November 2, 2001 at the University of Wyoming Outreach Center in Casper, Wyoming.
There being no further business, the meeting was adjourned at 8:00.
